About the Role
The Construction Project Management Assistant provides administrative and coordination support to the Project Manager, ensuring construction projects are properly organised, documented, and monitored. The role supports project management, change orders, submittals, approvals, and document control.
Key Responsibilities
• Assist Project Manager with day-to-day project administration and coordination.
• Maintain project tasks and information in ClickUp and project files in SharePoint.
• Organise project photos, subcontractor documents, and other project records.
• Assist with change order administration, including locating approved estimates and sending estimates to relevant parties.
• Prepare and submit submittal packages based on approved estimates and project requirements.
• Monitor submittal approvals and rejections and update SharePoint records accordingly.
• Maintain and organise accounting, contract, insurance, submittal, closeout, timesheet, and project log documents.
• Follow up on pending approvals, missing documents, and outstanding project requirements.
• Coordinate project-related communications with Project Managers, clients, subcontractors, vendors, and other stakeholders.
• Ensure project documentation is accurate, complete, up to date, and properly filed.
Qualifications
• Experience in construction administration (Required), project coordination, or a similar role preferred.
• Strong organisational and document management skills.
• Proficiency in Microsoft Office.
• Familiarity with SharePoint, ClickUp, and QuickBooks is an advantage.
• Strong attention to detail and ability to manage multiple priorities.
• Good written and verbal communication skills.
• Ability to work independently and proactively follow up on tasks.
