About the Role
We are seeking a Construction Office & Client Support Specialist to provide critical support in client communication, supplier coordination, and project administration. This role bridges office operations and client-facing tasks to ensure projects run smoothly, from lead follow-up to financial tracking.
Key Responsibilities
Lead & Client Follow-Up
• Call and email potential customers to follow up on leads.
• Review and respond to ML chat leads and voicemails.
• Follow up on estimates sent to general contractors (GCs) and owners.
• Collect feedback from GCs/owners regarding pricing and competitiveness.
• Identify and confirm the main point of contact (POC) for each project.
• Track award decision timelines from GCs/owners.
Supplier Coordination
• Request and confirm pricing from suppliers.
• Provide detailed project descriptions to suppliers and follow up as needed.
• Coordinate with multiple suppliers to complete bid/estimate requirements.
Communication & Coordination
• Answer incoming calls on the mainline via Grasshopper (web phone).
• Route inquiries and calls to the appropriate team members.
• Regularly communicate project status to the management team.
Financial & Admin Support
• Follow up on open/unpaid invoices and coordinate payment collection.
• Maintain accurate records of communications and project updates.
Qualifications
Education & Experience
• Bachelor’s degree in Business, Construction Management, or related field (Preferred).
• Minimum 2–3 years of experience in construction (Required), sales coordination, estimating support, or project administration.
• Familiarity with construction terminology, project workflows, and subcontractor/vendor relations.
Skills & Competencies
• Strong written and verbal communication skills (phone, email, client-facing).
• Persistent in following up with clients, GCs, and suppliers.
• Highly organized and detail-oriented; able to manage multiple leads and tasks simultaneously.
• Proficient with Microsoft Office/Google Workspace; CRM tool experience is a plus.
• Comfortable using web-based phone systems (e.g., Grasshopper) and project management tools.
• Basic knowledge of invoicing and payment follow-up processes.
